Terms and Cancellation Policy

Booking Conditions

Please read these conditions carefully. By making a booking with Beebs Tours, you acknowledge that you have read, understood, and agree to be bound by these terms.

Making a Booking

To secure your spot on any expedition, a non-refundable deposit is required at the time of booking. The specific deposit amount will be listed on the trip page (typically between $300 and $1000). Your booking is confirmed only after we receive this deposit and send you a confirmation email.

Payment Schedule

We believe in giving you time to plan. While your deposit secures your seat, the remaining balance for your trip is due no later than 3 months (90 days) prior to the departure date.

  • Payment Plans: You are welcome to make installment payments at your own pace, provided the full balance is cleared by the 90-day deadline.
  • Late Payments: If full payment is not received by the deadline, we reserve the right to treat your booking as cancelled. In this event, your deposit and any previous payments will be forfeited.

Cancellation by You

We understand that life can be unpredictable. However, because our expeditions take place in remote regions requiring advanced logistics and prepaid arrangements, our cancellation policy is strict.

  • General Policy: All deposits and payments made to Beebs Tours are 100% non-refundable.
  • Replacement Credit: If you must cancel, you will not receive a cash refund. However, if we are able to fill your vacated seat with another traveler, we will issue you a travel credit equal to the amount you have paid. This credit must be used toward another Beebs Tours trip occurring within the same calendar year.
  • Within 90 Days: If you cancel within 90 days of the departure date, we cannot offer any credits or changes, regardless of whether the seat is filled.

Cancellation or Changes by Us

We are committed to running every scheduled trip. However, we reserve the right to cancel or modify a trip if absolutely necessary.

  • Operational Cancellations: In the rare event that Beebs Tours cancels a trip for operational reasons (not force majeure), you will receive a full refund of all monies paid to us. Note: We will deduct any transaction/credit card fees or non-recoverable costs we have already incurred.
  • Force Majeure: If we must postpone or cancel a trip due to external events beyond our control (e.g., political instability, natural disasters, or safety concerns based on local partner advice), we will postpone the trip to a later date. If you cannot attend the new dates, your payments will be converted into a travel credit for a future trip. Cash refunds are not issued for Force Majeure cancellations.

Travel Insurance

Given the adventurous nature of our tours and our strict cancellation policy, comprehensive travel insurance is highly recommended. We strongly advise purchasing a policy that covers trip cancellation, medical emergencies, flight disruptions, and personal property. This ensures you are protected financially should you need to cancel for an unexpected reason.

Passports and Visas

It is your sole responsibility to ensure you have the correct travel documents.
 
  • Passports: Must be valid for at least six months beyond the duration of the trip.
  • Visas: You are responsible for obtaining the necessary visas for the destination. While we are happy to offer guidance, visa requirements can change, and Beebs Tours cannot be held liable for denied entry. If a visa is denied, our standard non-refundable cancellation policy applies.

Liability

Before departure, all guests are required to sign a Liability Waiver. This document acknowledges the inherent risks of travel in the regions we visit. Failure to sign this waiver may result in the inability to participate in the tour.
